Approve or Deny an Access Request

How do I approve or deny a request from a user to join a board? Why did I receive an email about a board access request? How do I manage pending board permissions? How do I review user access requests?

Receiving a Board Access Request Notification Email

When a user submits a board access request, users with the appropriate permissions are notified.

To receive these notifications:

  • Navigate to the User Management Page via the three-bar menu in the top left corner of LENS

  • Search for your name, click View Profile > Manage Boards > Permissions

  • Ensure Approve Access is turned on

    • If not, select the checkbox on the current LENS board and click Add as Approve Access

When this setting is enabled:

  • You will receive an email notification when a user submits a board request.

  • In the email, click Review Access Request.

  • Clicking Review Access Request will bring you directly to the User Management page in LENS.

  • Select the bell icon to open the requests panel. The number coincides with the number of current requests:

  • Select the user(s) whose request you would like to review, then choose Approve or Deny

  • Once you click Approve or Deny, a confirmation message will appear in the bottom left corner

Note: If you are not receiving email notifications, confirm that the Approve Access permission is enabled for your user account.


Approving or Denying a Board Request from the User Management Page

  • Navigate to the User Management Page via the three-bar menu in the top left corner of LENS

  • Select the bell icon to view pending user requests

  • Click the Approve or Deny button once selections have been made.

Once approved or denied:

  • The request will immediately be removed from the Pending Requests list

  • A confirmation message will appear in the bottom left corner of your screen confirming your action.

If approved, the user will now have Member level access to the board.

Tip: Search the user's name and assign the correct access and permission level when to ensure users can only view or edit what is appropriate for their role.


Removing an Existing User from a Board

If a user already has access and needs to be removed:

  • Navigate to the User Management Page via the three-bar menu in the top left corner of LENS

  • Locate the user under the active users list.

  • Click the Remove User Access icon under to their name.

  • Confirm the action by clicking "Remove"

  • This will immediately revoke their access, roles, and permissions from the board.
